1. Purpose
This Quality Assurance Framework outlines the systems, standards and processes used by Mentorium Minds to maintain, monitor and continually improve the quality of its mentoring and coaching services.
The purpose of this framework is to ensure that every client receives a professional, ethical, person-centred and high-quality service, regardless of whether support is funded through Disabled Students' Allowance (DSA), Access to Work (ATW) or private arrangements.
2. Scope
This framework applies to all services delivered by Mentorium Minds, including:
Specialist Mentoring funded through Disabled Students' Allowance (DSA)
Workplace coaching and mentoring funded through Access to Work (ATW)
Privately funded mentoring services
It covers all aspects of service delivery, including:
Initial enquiries.
Assessment and support planning.
Delivery of mentoring and coaching.
Communication.
Record keeping.
Professional development.
Client feedback.
Complaints handling.
Policy review.
3. Quality Objectives
Mentorium Minds aims to:
Deliver consistently high-quality mentoring and coaching services.
Provide person-centred, strengths-based support.
Promote independence, confidence and self-efficacy.
Maintain professional, ethical and evidence-informed practice.
Ensure services remain accessible, inclusive and responsive.
Continuously improve through reflection, feedback and professional development.
Comply with relevant legislation, professional guidance and funding requirements where applicable.
4. Professional Standards
Services will be delivered in accordance with:
UK GDPR and the Data Protection Act 2018.
Equality Act 2010.
Relevant Disabled Students' Allowance (DSA) guidance where applicable.
Access to Work requirements where applicable.
Professional standards associated with Graduate Membership of the British Psychological Society (BPS).
Internal Mentorium Minds policies and procedures.
Professional practice includes:
Acting with honesty and integrity.
Maintaining appropriate professional boundaries.
Working within professional competence.
Respecting confidentiality.
Delivering person-centred support.
Communicating professionally and respectfully.
Maintaining accurate and secure records.
5. Qualifications and Continuing Professional Development
Mentorium Minds is committed to maintaining a high standard of professional competence.
Current qualifications and professional memberships include:
BSc Psychology (2:1), Cardiff University.
Graduate Member of the British Psychological Society (BPS).
National Autistic Society (NAS) Specialist Mentor (ASC) training.
Additional professional training relevant to mentoring, neurodiversity and higher education support.
Continuing Professional Development (CPD) is undertaken regularly to maintain and enhance professional knowledge and skills.
Mentorium Minds aims to complete a minimum of 10 hours of CPD each year, with all learning activities recorded within a CPD log.
6. Person-Centred Practice
Every client is unique, and support is tailored to individual strengths, goals and circumstances.
This includes:
Establishing clear and collaborative goals.
Reviewing progress regularly.
Adapting strategies where appropriate.
Encouraging independence and self-advocacy.
Building upon existing strengths.
Delivering neurodiversity-affirming support where appropriate.
Clients are actively involved in decisions relating to their mentoring and coaching.
7. Service Delivery Standards
To promote consistency and quality:
Sessions will be planned appropriately.
Accurate records will be maintained.
Agreed actions and objectives will be documented where appropriate.
Professional boundaries will be maintained.
Services will be delivered within the practitioner's competence and scope of practice.
Communication will be timely, respectful and professional.
8. Client Feedback
Client feedback is an essential part of maintaining and improving service quality.
Feedback may be obtained through:
Informal discussions.
End-of-support feedback forms.
Testimonials provided voluntarily.
Periodic service reviews where appropriate.
Feedback will be reviewed regularly to identify strengths, opportunities for improvement and examples of good practice.
9. Complaints Monitoring
Complaints are recognised as an important source of learning and service improvement.
All complaints will be managed in accordance with the Mentorium Minds Complaints Policy.
Where complaints identify opportunities for improvement, appropriate action will be taken to review procedures, update policies or improve service delivery.
Recurring themes will be considered during annual quality reviews.
10. Record Keeping
Mentorium Minds maintains appropriate records relating to:
Client support.
Session summaries where appropriate.
Professional development.
Feedback.
Complaints.
Policies and procedures.
Quality improvement activities.
Records are stored securely and managed in accordance with the Privacy & Data Protection Policy.
11. Continuous Improvement
Mentorium Minds is committed to continually improving the quality of its services.
Quality improvement is supported through:
Reflective practice.
Client feedback.
Continuing Professional Development.
Professional consultation or supervision where appropriate.
Review of policies and procedures.
Review of service outcomes.
Monitoring developments in legislation, research and professional guidance.
The aim is to ensure services remain effective, relevant, evidence-informed and responsive to client needs.
12. Policy Review
This Quality Assurance Framework will be reviewed annually, or sooner if required following changes in legislation, professional guidance, funding arrangements or service delivery.
